Mentoring Workgroups Description
Subcommittee Workgroups and Leads
The Mentoring Subcommittee is composed of three standing workgroups.
The Workgroup Leads are selected by the Subcommittee Chair and perform the duties described below.
Mentoring Database Workgroup
LT Ha Thi Huynh, IHS, Lead
- Update the design of the database to ensure proper access for all authorized officers.
- Provide training to authorized users to help maintain and monitor the content of the database.
- Conduct regular reviews to ensure currency of the data maintained in the database.
- Conduct the matching of mentors and mentees.
- Collaborate with the Office of Commissioned Corps Force Management to ensure that the database is in compliance.
Training and Evaluation Workgroup
LCDR Tricia Kennedy, CDC, Lead
- Assess the training needs of Mentors and Mentees.
- Design and implement a training program to meet the needs of the Mentors and Mentees.
- Collaborate with the PAC Mentoring Subcommittee in addressing the training needs of Mentors and Mentees.
- Create and implement a six month mentoring progress report form to evaluate the ongoing matches in the mentoring program.
- Create and implement a yearly survey for mentees and mentors to assess progress of the mentoring program.
- Prepare a summary of findings for the HSO-PAC Mentoring Subcommittee Chair.
- Collect and tabulate the Evaluation/Feedback forms from the program participants.
- Create/Revise/Transmit the welcome letter for mentees and mentors.
- Create/Revise the end of the year thank you letter for mentees and mentors.
- Edit materials for the HSO Mentoring Resource web page.
- Revise the HSO Mentoring handbook ensuring the information is accurate and up to date.
- Provide up to date information for the HSO Mentoring Resources web page.
Professional Advisory Workgroup
CDR Iris Valentin-Bon, Lead
- Perform liaison duties between the Professional Advisory Groups (PAG), address concerns, convey issues and assist with requested tasks.
- Solicit input from the PAGs on effective ways to assist and promote cohesive recruitment activity.
- Actively engage in the recruitment of Health Services Mentors to meet the needs of the Category.
- Gather mentoring activity updates from the various PAGs within the HS PAC and report to the HS PAC Mentoring Subcommittee.
- Provide monthly updates and available statistics on activities to the PAG mentoring programs to the Mentoring Subcommittee Chair.
- Collaborate with the HS PAC Recruitment and Retention Subcommittee to identify COSTEP students assigned to active duty tour or new officers to the Category for mentoring, when needed.
- Streamline the mentoring methodology to promote equal and timely access for all officers in the HS category.
- Develop Standing Operating Procedures for interface with the liaisons from each Professional Advisory Group (PAG).
- Develop articles to communicate the importance of being a mentee or mentor.
- Communicate to PAG liaison monthly matches processed.
- Serve as a mentoring resource to officers who are not a part of a PAG.
